Conditions of Communication

These are as under:

(i) Desire to give information;

(ii) Presence of receiver;

(iii) Ability to understand the information;

(iv) Ability to give response.

Objectives of Communication

Communication has the following objects:

(i) To give proper and sufficient information.

(ii) To establish co-ordination in business activities;

(iii) To develop managerial skill;

(iv) To enforce policies;

(v) To help in achieving organisational goals;

(vi) To organise human and other resources;

(vii) To increase employee morale;

(viii) To implement the ideas;

(ix) To increase production;

(x) To establish two-way communication;

(xi) To receive views and suggestions at all levels;

(xii) To present facts and data for employee development and progress;

(xiii) To establish sweet human relations

(xiv) To prepare suitable atmosphere to establish any change in the organisation

(xv) To make efforts to uplift efficiency; and

(xvi) To transfer the orders and directions.

Objectives of Internal Communication

Following are the objectives of internal communication –

(i) To establish and disminate the goals;

(ii) To control the performance;

(iii) To select, develop and appraise employees;

(iv) To organise human and other resources in the most effective and efficient way;

(v) To develop plans; and

(vi) To provide leadership, direction, motivation and working climate.

Objectives of External Communication

These are short listed as under:

(i) Identification of customers’ needs;

(ii) To provide products and services properly;

(iii) Aware of competition;

(iv) Aware of the availability of supplies;

(v) Understanding about the claims of stock-holders; and.

(vi) Knowledge of rules and regulations of the government.

The communication can be used for the following purposes:

(i) To give message or information;

(ii) To give order;

(iii) To advise;

(iv) To educate;

(v) Raising moral;

(vi) To motivate:

(vii) To suggest;

(viii) To give warning.

Some of the above can be discussed as under :

(i) Message or Information: Passing or receiving of information is the most important objective of it.

(a) External Information:

1. Advertising information;

2. Latest change in technology of information;

3. Government rules and regulations;

4. Information about the credit facilities;

5. Information about products;

6. Information about the availability and supply of raw materials.

(b) Internal Information: Information regarding –

(i) policies and activities;

(ii) job assignments;

(iii) status;

(iv) decision-making powers.

(c) Information required for Planning:

(i) Political, social, economical, cultural and geographical information;

(ii) Competitive information;

(iii) Production and sales information;

(iv) H.R.D. information.

Sources of Information:

1. Old files and records;

2. Personal observation;

3. Chambers of Commerce;

4. Questionnaires;

5. Mass media of communication like T.V., radio, newspaper and journals etc.

6. Conference, meeting and seminars etc.

7. Personal interviews;

8. Present electronic media like internet.

9. Trade fairs.

Acceptance of Information: If information has following features it can be considered:

(i) Reliability of source;

(ii) Accuracy;

(iii) Completeness;

(iv) Recent.

(ii) Orders: It is a directive to subordinates. It is authoritative communication. It has downward flow of information.

Types of Order: Following are the types of order –

1. Written Orders: Written orders are placed in the following cases:

(i) Highly responsible condition;

(ii) Repetitive tasks;

(iii) Remoteness of person being ordered.

2. Oral Order: If-

(i) job is to be done immediately,

(ii) job is ordinary;

(iii) permanent superior subordinate relationship are found oral order is placed.

3. General orders;

4. Specific orders;

5. Mandatory orders;

6. Discretionary orders;

7. Procedural orders;

8. Operational Order;

9. Operational orders.
